Position Summary: Performs administrative and office support activities. The person in this position is often the first point of contact with guests and the main point of contact for staff administrative needs and is expected to be friendly, informed, and responsive. Duties include front desk reception, coordination of facilities maintenance and support of accounting, IT, resource development and human resources functions.

Administrative Support
Process incoming and outgoing mail, including depositing incoming checks
Greet and direct visitors
Answer and route incoming calls
Provide agency-wide support with eFax, document scans, copies, etc.
Assist with scheduling and coordinating staff meetings and other staff events
Coordinate kitchen maintenance: kitchen cleaning schedules, supplies ordering, etc
Set-up and clean-up meeting rooms
Coordinate facilities maintenance needs
Coordinate staff office moves and assist with use of space planning
Process online purchases with company credit card
Inventory, order, and stock office supplies
Provide support to finance staff: copy, mail, file, assemble checks
Provide support for HR: post job notices, track resume submissions
Provide support for resource development: event logistics, mailings, document prep, data entry
Provide support for IT as appropriate
Back-up programmatic admin needs as needed
Participate in administrative workgroup meetings
Other admin duties as needed

AA degree or 2 years work experience required
Experience and competence communicating and working with professionals
Experience and competence in oral and written communications
Experience in data entry preferred
Experience in office administration preferred
This position requires a valid driver’s license and ability to lift 30 lbs.

Ability to handle multiple assignments and projects to meet deadlines
Excellent attention to detail
Ability to be flexible and work both independently and with others
Working knowledge of Microsoft Word, Excel, Outlook and Salesforce
Ability to operate office equipment, including printers, multi-function copy machines, and postage machine
Ability to work standing up for long periods to organize, count, sort, package and post materials

Wages & Benefits: $18-20/hour, DOE. Excellent benefits include fully paid medical, vision, and dental coverage for employees and generous coverage for spouses, partners and dependents, paid time off, and employer-matched retirement plan. This is a full-time, non-exempt position.
